Price Lists & OCR Import
Where: Purchase → OCR Import (progress under OCR Import History; the buying-side catalog view is Price Lists).
Got a supplier's price list as a messy PDF, a phone photo, or a huge Excel? Drop it here — the AI reads every product and price so you never type 300 rows by hand.

Importing a price list
- Drop the file into the parser card — PDF, PNG/JPG/WebP or XLSX, up to 250 MB. Big files simply process in the background.
- Pick the Vendor (required — add one under Vendors first).
- Click Start AI Import. Upload returns instantly and you're taken to Import History to watch progress (Queued → Working → Ready to review).
- When it's Ready to review, click Review: every extracted row appears with its code, description, price, page number, confidence %, the matched catalog product, and a proposed action badge — Update Price, New Product, Review required, or Skip.
- Choose whether imported products are saved as Public (visible to your whole company) or Private (only you and your admin) — see product visibility.
- Click Import N rows — products and prices land in your catalog as a versioned vendor price list. Or Discard.
Nothing is written until you confirm
The AI proposes; you review with confidence scores and decide. Low-confidence rows are flagged for review, and Skip rows are never imported.
Managing price lists
Back on the Price Lists & OCR page:
- Price List Summary — total and currently active lists (a list is active while its Valid To date is in the future).
- All Vendor Price Lists — click a list to see its items.
- Vendor Price Comparison — search a product to see every vendor's price sorted cheapest-first, with a green Cheapest ribbon. (The full comparison page is Vendor Comparison.)
Why this matters downstream
The price data you build here powers:
- The Smart Procurement Agent's cheapest-vendor picks.
- Vendor Comparison and the vendor-price popovers on product pages.
- The "Add to price list" shortcut on Requisitions — future AI quotes automatically pick that vendor.
Tips
- A clean text PDF is cheaper and far more accurate than a photo of a printout.
- Set Valid From / Valid To so old prices expire and comparisons stay honest.
- A job stuck with no progress for 15 minutes is marked Stalled and can be cleared; failed jobs can be retried.
