Invoices
Where: Sidebar → Invoices (Accountant) or Accounting (Company Admin).
This is the invoice register — every customer invoice from Draft to Paid, with KPIs for Total Invoiced, Paid This Period, Pending Collection and Overdue at the top.

Create an invoice
From a sales order
- Click New Invoice.
- Pick the Sales Order — the dropdown shows
SO-number — Customer · ₹total. Only orders that aren't already invoiced or cancelled appear. - Set the Due date. It defaults to 30 days from today. A past date makes the invoice immediately overdue (and chaseable by Collections).
- Optionally tick "Issue immediately (mark as Sent, so Collections can act on it)".
- Click Create Invoice. Line items are copied from the sales order automatically, and GST is calculated for you (CGST + SGST intra-state, IGST inter-state).
The dialog says "No invoiceable sales orders" when there's nothing to bill. Confirm a quotation into a sales order first — see Sales Orders.
From a dispatch
If you bill on delivery rather than on order, go to Production → Dispatch & Delivery and click Create Invoice on any dispatched or delivered row. Those invoices appear here marked "From dispatch" under the invoice number. See Dispatch.
Issue the invoice
New invoices start as Draft (unless you ticked "Issue immediately"). A draft is invisible to payments and Collections. To issue it:
- Open the row's ⋮ menu → Edit due date / status.
- Set Status to Sent and save.
Record a payment
- ⋮ → Record payment (shown only on Sent / Partial / Overdue invoices).
- The dialog shows Total / Paid / Balance. Enter the Payment Date, Amount (capped at the balance), Method (Cash, Bank Transfer, Cheque, UPI, RTGS, NEFT) and an optional Reference / UTR.
- Click Record Payment. The status advances to Partial or Paid — and the email dialog for the payment receipt opens automatically so you can send the customer a receipt.
Collect online (Pay-Now link)
⋮ → Collect payment (link)… opens the Razorpay dialog with a QR code and shareable link for the outstanding balance. Full details in Payments & Pay Now.
Print & email
The ⋮ menu has two clearly separated pairs:
- Tax invoice → Print… / Email…
- Proforma invoice → Print… / Email…
Both run through the missing-price guard first: if any line item has a blank or ₹0 unit price you'll see "N items have no unit cost" with Go back & fix or Continue anyway. Templates and branding come from the Template Center.
Find and filter
- Status chips: All · Draft · Sent · Partial · Paid · Overdue · Cancelled.
- Search by invoice number or customer (searches the rows on the current page).
- GST Export (header button) downloads a CSV of the currently visible invoices with taxable value, GST, totals and balances.
Reports tab
The second tab is a launcher of six report cards — Profit & Loss, Balance Sheet, Trial Balance, Cash Flow, GST Report and Receivables Aging — each with Open and Export shortcuts to the Financial Reports, GST Reports and Receivables pages.
Tips & gotchas
- KPI cards and search work on the loaded page of 20 invoices, not your entire history — use the status chips to narrow things down first.
- "Record payment" is hidden on drafts. Issue the invoice first.
- If your company has connected Zoho Books, a Sync to Zoho action appears in the row menu.
